Why Your Emails Are Going to Spam and How to Fix It
There is nothing more frustrating than sending an important business quote only to have the client say they never received it, because it landed in their spam folder. Major email providers like Gmail and Microsoft use strict, automated algorithms to filter mail. If your emails are going to junk, one of the four issues below is almost certainly the culprit.
1. Missing SPF, DKIM, and DMARC Records (The #1 Cause)
If you have not verified your domain, Gmail automatically assumes you are a spammer spoofing the address. SPF (Sender Policy Framework) and DKIM (DomainKeys Identified Mail) prove to the receiving server that the email genuinely came from your authorized server.

2. Your IP Address is Blacklisted
If you are on a Shared Hosting plan, you share a mail IP address with hundreds of other users. If one of those users sends spam and gets the IP placed on a global blacklist (like Spamhaus or Sorbs), your emails will be penalized too, even if you did nothing wrong.
The Fix: Use a tool like MXToolbox Blacklist Check. Enter your domain to see if your server IP is listed. If it is, contact Hostinap support so we can request a delisting. 3. Spammy Email Content and Trigger Words
Spam filters analyze the actual text of your email. If you use too many "salesy" words, WRITE IN ALL CAPS, use excessive exclamation marks (!!!), or send emails that are one giant image with no text, the algorithm will flag it.
The Fix:
- Avoid words like Free, Guarantee, Click Here, No Catch, Earn $, Urgent in subject lines.
- Maintain a good text-to-image ratio (don't just send a flyer).
- Include a physical address and an unsubscribe link if it is a newsletter.
- Ensure your "Reply-To" address matches your sending address.
4. High Bounce Rates (Dirty Mailing Lists)
If you are sending marketing emails to a list where 10% of the addresses are dead, fake, or misspelled, Gmail will notice that you are "guessing" email addresses. They will penalize your domain reputation, and eventually, even your legitimate emails will go to spam.
